Assistant Administration Manager
Hong Kong | Full Time
Responsibilities

Reporting to Human Resources Director, the incumbent will oversee the Administration team to provide excellent service to our internal customers:

 

  • Manage full spectrum of daily office administration and procurement functions
  • Provide a full range of administrative support including license renewal; Insurance renewal; office cleaning; repair work; fixed assets administration and equipment maintenance
  • Follow through with contractors on any office maintenance, renovation and relocation matters
  • Review the administration workflow / policies, and execute internal document control
  • Manage and negotiate with external vendors for better terms, including but not limited to the quality of services and prices, from time to time
  • Manage general reception duties including handling incoming inquiries, and greeting visits in a professional manner
  • Maintain stock and procurement of laboratory supplies, uniform, stationery, water, and other office supplies
  • Maintain a hygienic and safe office space by coordinating with the cleaning lady, vendors, and contractors
  • Any other ad hoc duties as assigned by superior
Qualifications
  • Higher Diploma or above in Business Administration or related disciplines
  • Minimum 6 years of office administration working experience in any sizable organization, in which 2+ years at managerial or supervisory level
  • Excellent interpersonal, organization, multi-tasking and project management skills
  • Cheerful, proactive, self-motivated and details-driven
  • Strong sense of responsibility, good numeric sense, Can-do attitude and a good team player
  • Familiar with MS Outlook, Excel, PowerPoint, and Chinese Word Processing
  • Fluency in both English and Chinese (Cantonese and Putonghua)
  • Immediate available or short notice will be an advantage
